Admin Officer – 37.5 Hours/Week

Are you an organised, detail-oriented individual with a passion for creating positive client experiences? We’re looking for a driven Admin Officer to join our inclusive and supportive team.

Accessing psychology can be a difficult process, we want to ensure that our clients feel they are part of our Willow Tree family.  

 

Our team consists of Clinical, General and Provisional Psychologists, Accredited Mental Health Social Workers and Art Therapists. The day-to-day operation of the practice is run by the Practice Manager with the support of the Admin Officers.    

 

The Admin Officer position will be a fast-paced position in a busy environment that will require exceptional skills in time management and multi-tasking. The role of the Admin Officer will be to assist the Practice Manager and other Admin Officers with the tasks below as delegated by the Practice Manager/or Principal Clinical Psychologists.

Key Responsibilities 

  • Manage client referrals, bookings, and follow-ups with precision 
  • Maintain dynamic clinician schedules to optimize appointment access 
  • Deliver exceptional customer service, ensuring every client feels welcome 
  • Process payments, Medicare/Hicaps rebates, and handle administrative tasks for clinicians 

 

Requirements 

  • Strong attention to detail and love for organisation 
  • Experience in administration (allied health/psychology experience preferred but not  essential) 
  • Excellent communication skills and proficiency in Microsoft Office 
  • Willingness to obtain a DHS Working with Children Check

Senior Psychologist / Clinical Psychologist / Clinical Psychology Registrar / Psychologist / School Psychologist (Multiple Positions)

 

A unique opportunity exists to join the team at Willow Tree Psychology and Wellbeing, we are a private practice nestled in the eastern suburbs of Adelaide. We have a large team of 24 psychologists, an art therapist and a mental health social worker. Our psychology team consists of 6 Board-Approved Supervisors, where we offer regularly scheduled individual supervision, group supervision, and professional development sessions. Our Board-Approved Supervisors are on site, and also have an open-door policy as we understand that supervision at times is required outside the scheduled supervision time. Our team are warm and friendly, and as a large psychology hub, there is always someone available to talk, discuss and debrief with. 


At Willow Tree, we value staff development and support; therefore, we aim to move away from the traditional private practice model of working in the isolated ‘silos’ of our individual consulting rooms from morning to night, and instead move towards a model that facilitates shared learning and development across the whole team.

Positions
•    Multiple Positions - Permanent employee ongoing full-time (5 days); Permanent ongoing part-time positions available (1-4 days).
•    Senior Child Psychologists working with children and/or
•    Senior Adult Psychologists working with adults

•    Psychologists working with adults and/or
•    Psychologists working with children/adolescent/youth and/or
•    Psychologists working across the lifespan

•    In addition, we have a position for a School Psychologist working with students and teaching staff 

•    Our permanent employee positions include Superannuation, Annual Leave, Sick leave, Long Service Leave accrual entitlements and are in addition to the annual salary.

Essential Criteria Required for the Role
•    General registration as a Psychologist with the Psychology Board of Australia (provisional registration may be accepted for those due to complete their Masters program within 3 months)
•    Ability to obtain a Medicare Provider Number
•    Relevant criminal history clearances including a DHS Working with Children Check (WWCC) and National Police Check (NPC)
•  Completion of the Responding to Risks of Harm, Abuse and Neglect – Education and Care (RRHAN-EC) training prior to commencement 
•    Professional Indemnity Insurance
•    Evidence of 2 doses of COVID-19 vaccination
•    For Senior level positions only: Experience providing Psychology Board-Approved Supervision (e.g., clinical registrar program) 


Desirable (but not essential) Criteria Required for the Role
•    Experience working with clients with disabilities, and a working knowledge of the NDIS
•    If eligible, willingness to work towards endorsement via a registrar program 
•    Experience working with a range of mental health presentations

 

Salary
A generous salary is available that is above the public sector award range and general market rates.
